Hi [Name], I can't make [meeting] on [date], and I don't think my being there changes the outcome. Please go ahead without me. [colleague] can flag anything that needs my decision. Or send me the notes and I'll follow up by end of day. Thanks, [Your name]

How to decline a meeting without stalling the work
Three ready-to-send replies for the meeting you can skip, each one honest.
When to use this
Someone adds you to a meeting that does not need you. Or the meeting clashes with something you cannot move. Do not open with an apology. Open with a plan. An apology sounds unsure and invites a reply that asks you to reconsider.
Three variants
Same situation, three different stances.
Hi [Name], Thanks for the invite to [meeting]. I can't join on [date], and I'd rather tell you now than drop out at the last minute. [colleague] knows the topic well and can speak for me. I'm happy to review the notes afterward if anything needs my sign-off. Talk soon, [Your name]
Hi [Name], I won't be at [meeting] on [date]. Please don't hold the agenda for me. Decide without me. Loop me in only if the outcome changes something I own. [colleague] has full context and can answer on my behalf. [Your name]
Why this works
- It names a stand-in, so someone can still speak for the decision.
- It gives the date once, so the sender does not wonder if you are still deciding.
- It ends with a plan, such as notes or a summary, and not with a question that invites a reply.
- It leaves out the apology. The message reads as a scheduling fact, not a favour.
Before you send
What to change.
- [Name]
- The person who invited you, or whoever runs the meeting.
- [meeting]
- The meeting title or topic, so the decline is clear.
- [date]
- The date, or date and time, of the meeting you decline.
- [colleague]
- Someone who can represent you in the room. Drop this line if nobody can.
- [Your name]
- Sign with your own name.
Questions
Fair questions, straight answers.
Do I need to give a reason for declining?
A short reason helps. The date and a stand-in matter more. Write a message the sender can act on right away.
What if I should attend this meeting?
Then attend it. Use this template for meetings that do not need you, where going costs more than it gives.
