How to follow up after someone goes quiet
Three tones for the message you send after nothing comes back.
When to use this
You sent a proposal, a question or an ask, and heard nothing back. Do not wait too long out of politeness. Do not open with "just checking in." That phrase asks for nothing and gets nothing back.
Three variants

Warm
Hi [Name], I hope things have just been busy on your end. I wanted to check back on [what you sent]. These things can slip down a full inbox. Take your time, there's no deadline. I just want to be sure it didn't fall through the cracks. Best, [Your name]
Firm
Hi [Name], I haven't heard back on [what you sent], and I need an answer to keep things moving. Could you reply by the end of the week, even if the answer is no? If I don't hear anything, I'll assume this has dropped and move ahead without it. [Your name]
Why this works
- It removes the guilt from the ask, so the reader needs no excuse before they reply.
- The firm version gives a real deadline, not an open-ended "whenever works."
- It states what happens if there is no reply. That often gets one.
- It skips "just checking in." That phrase asks for nothing and reads as filler.

How long should I wait before following up?
Wait a few business days for routine items. Wait longer for items that need real thought. If it is urgent, say so in the message. Do not send it early and hope the tone carries the urgency.
Is it okay to follow up more than once?
Twice is usually fine if the first one got no answer. After that, use the closing line of the firm version. It gives a clear deadline and a stated consequence.
