How to follow up after someone goes quiet
Three tones for the message you send after nothing comes back.
When to use this
You sent something (a proposal, a question, an ask) and heard nothing back. The trap is either waiting too long out of politeness or opening with 'just checking in,' which asks for nothing and usually gets nothing back.
Three variants

Warm
Hi [Name], Hope things have just been busy on your end. I wanted to check back in on [what you sent], since I know these things can slip down a full inbox. Take your time, there's no deadline attached, I just want to make sure it didn't fall through the cracks entirely. Best, [Your name]
Firm
Hi [Name], I haven't heard back on [what you sent], and I need an answer to keep things moving on my end. Could you reply by the end of the week, even if the answer is no? If I don't hear anything, I'll assume this has dropped and move ahead without it. [Your name]
Why this works
- Removes the guilt from the ask, so silence on their end doesn't need an excuse before they reply.
- Gives a real deadline in the firm version instead of an open-ended 'whenever works.'
- States what happens if there's no reply, which is often what actually gets one.
- Skips 'just checking in' entirely, since it asks for nothing and reads as filler.

How long should I wait before following up?
A few business days for something routine, longer for something that needed real thought. If it's genuinely urgent, say so in the message rather than sending it sooner and hoping the tone carries the urgency.
Is it okay to follow up more than once?
Twice is usually fine if the first one went unanswered. After that, the firm version's closing line does the real work: a clear deadline and a stated consequence.
